Milan hosts some of the largest medical, scientific and industry congresses in Europe. When thousands of delegates arrive in the same week, taxis are hard to find, hotels fill up and every transfer takes longer. This guide explains how to plan ground transport for delegates, speakers and sponsor teams, and lists congresses with dates published on the official websites.
Two venues, different logistics
Most large events take place either at Allianz MiCo, the convention centre in the CityLife district, or at Fiera Milano in Rho, the exhibition centre north-west of the city. On Google Maps, Allianz MiCo is about 25 minutes from the Duomo and about 40 minutes from Malpensa or Linate; Fiera Milano Rho is about 30 minutes from Malpensa and Linate and about 35 minutes from the city centre. Check which venue your congress uses before booking hotels.
Arrivals: plan by flight, not by day
For a delegation, collect the arrival details of each person and group them by airport and time. A Sprinter Luxury VIP takes up to eight passengers with luggage, and several vehicles can run on one timetable. Speakers and executives usually travel individually in an S-Class, with flight tracking so that a delay does not leave them waiting.
Daily shuttles and VIP cars
During the congress, hotel–venue shuttles at fixed times work well for teams. For VIPs who move between sessions, meetings in city hotels and evening dinners, a car and driver by the hour is usually simpler than booking single transfers: the car waits at the venue and is ready when the guest is.
Working with organisers, DMCs and PCOs
Agencies and companies usually need one contact person, written confirmation of every transfer and invoices with the right company details. Changes on the day should go to one office rather than to individual drivers.
Hotels and distances
Hotels close to the venue are the first to sell out. If you stay in the city centre, a congress at Allianz MiCo is a short drive away; for Fiera Milano Rho, allow more time in the morning peak. Ask your transport company to plan pick-up times hotel by hotel rather than one time for everyone.
Official dates for upcoming congresses
Dates published on the organisers' and venue websites in October 2026 include: SIRM 2026 (5–8 November 2026), ISF World Congress 2026 (14–17 November 2026) and EACVI 2026 (3–5 December 2026) at Allianz MiCo; EAPCI 2027 (18–20 February 2027), ENETS 2027 (10–12 March 2027) and the ITI World Symposium (6–8 May 2027) at Allianz MiCo; and ESC Congress 2027 in Milan from 27 to 30 August 2027. Always check the official website before booking travel, as programmes and venues can change.
Energy and industry events
Milan also hosts large industry exhibitions at Fiera Milano Rho. Gastech 2025, one of the main global gas and LNG events, took place there from 9 to 12 September 2025. Industry events bring delegations and executives who need the same mix of airport transfers, shuttles and cars by the hour.
Practical tips for delegates
Keep your hotel address and the venue gate written down; large venues have several entrances, and arriving at the right one saves time. Leave the venue a little before or after the end of the last session, when everyone looks for a car at the same moment. If you have an evening dinner across the city, book the car for the whole evening rather than a single transfer. And when you fly out on the last day, allow extra time: the airports are busy with thousands of delegates leaving together.
Book early
During major congresses, demand for cars and drivers rises sharply. Send us your programme as early as possible, with the arrival list, the hotels and the daily schedule, and we reply with a written plan and quote. Price on request; hourly rates are published on our congress page.
